Collecting a parcel in Sweden without losing an evening

Your parcel is not at the post office, because the post office does not exist any more. It is behind the till of a supermarket, and the message telling you which one arrives in Swedish with a deadline attached.

The short answer

Parcels in Sweden are handed over at an ombud, a pickup point inside a shop, and you are told by SMS, by app or through Kivra rather than by a card in the letterbox. Three words decide everything in that message: utlämningsställe is where to go, avhämtas senast is the date after which it goes back, and legitimation means bring photo ID. A parcel not collected in time is returned to the sender, and with some retailers that also means a return fee. Take ID even when the message does not mention it, and check whether the pickup point is a PostNord, DHL, Instabox or Budbee location, because they are different shops on the same street.

There is no post office, and that is not a joke

Sweden replaced counter post offices with ombud, pickup points operated inside supermarkets, petrol stations and convenience shops. Your parcel sits behind the till of a shop that is otherwise selling milk, and the sign on the door says which carrier it serves.

That is the detail that costs an evening. PostNord, DHL, Instabox, Budbee and Early Bird all use different shops, and a parcel from one carrier cannot be collected at another's point. Read the carrier name in the message before you walk anywhere.

Notification comes by SMS, by the carrier's app, or into Kivra, the digital mailbox that most Swedish senders use. If none of those are set up, a paper avi in the letterbox still exists, but it is now the exception rather than the rule, which is one reason Kivra is worth setting up early.

Jag ska hämta ett paket.I'm here to collect a parcel. The whole sentence needed at the till.
Har ni ett paket till mig?Do you have a parcel for me?When you have the code but not the shelf.
Vilket ombud är det?Which pickup point is it?On the phone with somebody who has the tracking open.
Det är ett PostNord-paket.It's a PostNord parcel.Say the carrier first. It saves the whole exchange.

The message, word by word

Ditt paket finns att hämta hos means your parcel is ready for collection at, followed by the shop name and address. Utlämningsställe is that pickup point, and öppettider are its opening hours, which are the shop's hours, not a post office's.

Avhämtas senast is the deadline, written with the date format and the twenty-four-hour clock explained here. Miss it and the parcel goes back: returneras till avsändaren. The window is typically a week or two depending on the carrier, and it is always in the message.

Kollikod, hämtkod or utlämningskod is the collection code you show at the till, sometimes as a number and sometimes as a QR code. Legitimation means photo ID, and fullmakt is the written authorisation somebody needs if they collect on your behalf.

Kan min sambo hämta det åt mig?Can my partner collect it for me?Usually yes, with your ID details or a fullmakt. Ask first.

Boxes, doors and the parcel that was left outside

Paketbox and paketskåp are the lockers that Instabox and Budbee use, opened from the app or with a code. They are open around the clock, which makes them the easiest option when the shop closes before you leave work.

Some carriers deliver to the door and leave the parcel outside if you are not in, and the same master-key question decides whether a repair happens on the first visit. The message that follows says levererat with a photo, and a parcel that vanished after that photo is reported to the carrier, not to the shop. Take the photo seriously: it is the evidence in any complaint.

If the parcel never arrives, the words for the complaint are saknat paket for a missing one and reklamation for a formal claim. The claim goes to the carrier when the tracking says delivered, and to the shop when it never left.

Jag har inte fått mitt paket.I haven't received my parcel.Opening line of a complaint, by phone or chat.
Det står levererat men jag har inget. It says delivered but I have nothing. The exact sentence the carrier needs to hear.
Jag vill göra en reklamation.I'd like to make a formal claim.Reklamation is the word that starts the process.

Sending something back

Returns are a normal part of Swedish retail and the vocabulary is fixed. Retur is a return, returfraktsedel is the return label, returkod is the code you show at the ombud, and ångerrätt is the statutory right of withdrawal on distance purchases.

In practice you either print a label or show a code on your phone, hand the parcel over at a pickup point, and keep the receipt. Kvitto is that receipt, and it is the only proof that the parcel left your hands.

One thing to check before buying: whether the return is free. Fri retur means it is, and where it is not, the cost is deducted from the refund, which is a small surprise that arrives weeks later.

Jag ska lämna en retur.I'm here to drop off a return. At the till, with the parcel and the code.
Kan jag få ett kvitto? Can I have a receipt?Always. It is your proof of handover.
Är returen fri?Is the return free?Worth asking before you buy, not after.
Jag vill utnyttja ångerrätten.I'd like to use my right of withdrawal. The formal wording for cancelling a distance purchase.

The five-minute version at the till

The exchange itself is short and always the same shape. You say what you are there for, you show the code, they scan your ID, you sign or tap, you leave. Nobody expects conversation, and the queue behind you is a normal Swedish queue, which is to say silent and patient.

What makes it go wrong is arriving without the code or with the carrier's name unknown. Open the message in the street, not at the counter.

If the assistant answers you in English, you can keep it in Swedish with one sentence, and it is worth doing because this is the single most repeatable errand you will have all year. The technique is in this article, and the ordering vocabulary at any counter is here.

Questions people ask

Where do I collect a parcel in Sweden?
At an ombud, a pickup point inside a supermarket, petrol station or convenience shop, or from a locker for carriers like Instabox and Budbee. Counter post offices no longer exist. The message you receive names the shop, and the carrier matters because each one uses different shops.
What does avhämtas senast mean?
Collect by, followed by a date. After that date the parcel is returned to the sender, and with some retailers a return fee is deducted from your refund. The window is usually one to two weeks and is always written in the notification.
Do I need ID to collect a parcel?
Yes, take photo ID even when the message does not say legitimation. A Swedish ID card, a passport or a driving licence is accepted. If somebody else collects for you, they usually need your details or a written fullmakt, so check with the carrier first.
How do I know which pickup point my parcel is at?
The SMS, the carrier's app or your Kivra mailbox names it, along with the opening hours. Read the carrier name first: a DHL parcel cannot be collected at a PostNord point even if the two shops are on the same street.
What if the tracking says delivered and there is no parcel?
Contact the carrier rather than the shop, using the phrase det står levererat men jag har inget, and ask to make a reklamation. The delivery photo is the evidence the claim turns on. If the parcel never left the seller, the claim goes to the seller instead.
